Custom Cake Ordering: What to Expect

|Auntie Lu

Ordering a custom cake is one of the most exciting parts of planning a celebration, but if you have never done it before, the process can feel unfamiliar. How far in advance should you order? What happens at a tasting? How much should you budget? What about delivery? At Auntie Lu's Bakery in San Diego, we have guided hundreds of customers through the custom cake ordering process, and we have designed every step to be clear, comfortable, and even enjoyable. This guide walks you through exactly what to expect when you order a custom cake from us, whether it is for a wedding, birthday, quinceañera, corporate event, or any other celebration.

Step One: The Initial Consultation

Every custom cake at Auntie Lu's Bakery begins with a consultation. This is a conversation, not a sales pitch. We want to learn about your event, your vision, and what matters most to you. You can reach out to us by phone, email, or through our contact form, and we will schedule a time to talk that works for your schedule.

During the consultation, we ask about the basics: the date and time of your event, the venue or location, the approximate guest count, and any design ideas or themes you have in mind. If you have inspiration photos from Pinterest, Instagram, or magazines, we love seeing them. These images help us understand your aesthetic preferences and give us a starting point for the design conversation.

We also discuss dietary needs during this stage. If you need a gluten-free cake, a dairy-free option, or cakes that accommodate nut allergies, this is the time to let us know. We have developed recipes for a range of dietary requirements that taste just as delicious as our standard offerings. The consultation typically takes 20 to 30 minutes and can be done in person at our San Diego kitchen, over the phone, or via video call for clients who are not local.

For wedding cakes, consultations tend to be more detailed, covering the full scope of the reception, including whether you want a traditional tiered cake, a dessert table with cake pops and other sweets, or a combination. We discuss your wedding color palette, floral arrangements, venue style, and any other design elements that should influence the cake. If you are getting married at a San Diego venue, we likely already have experience delivering there, which gives us valuable insight into logistics and setup.

Step Two: The Tasting Experience

The tasting is the step most people look forward to the most, and for good reason. This is where you get to sample the flavors that will make up your custom cake, and we make it a genuinely enjoyable experience. Tastings are held at our kitchen in San Diego, and we typically schedule them on weekday afternoons or Saturday mornings.

For wedding cake tastings, we prepare six to eight flavor combinations for you to try. Each sample includes the cake layer, the filling, and the frosting so you can experience the complete flavor profile as it will taste on your wedding day. Our flavor menu includes classics like vanilla bean with strawberry buttercream and chocolate fudge with salted caramel, as well as more adventurous options like lavender lemon, chai spice with brown butter frosting, and passion fruit with coconut cream.

For birthday cakes and event cakes, the tasting is typically smaller, with four to five flavor options tailored to your preferences. You are welcome to bring a guest or two to help with the decision, and we provide palate cleansers between samples so you can taste each flavor clearly.

During the tasting, we also present preliminary design concepts. These might be sketches, digital mock-ups, or reference images that illustrate the direction we are proposing based on your consultation. We discuss the design together, make adjustments in real time, and refine the concept until it feels exactly right. By the end of the tasting, most clients have a clear picture of both the flavor and the look of their cake, which makes the rest of the process smooth and exciting.

Step Three: Design Finalization and Proposal

After your tasting, we put together a detailed proposal that includes everything you need to make a final decision. The proposal covers the cake design with a description or illustration of the finished product, the flavors you selected for each tier (if applicable), the serving count, the delivery date and time, setup details, and the total price with an itemized breakdown.

Our pricing is transparent and based on several factors: the number of servings, the complexity of the design, the ingredients required, and the delivery distance. Simple buttercream cakes start at a lower price point, while elaborate fondant designs with hand-sculpted sugar flowers or intricate painted details are priced higher to reflect the additional time and skill involved. For a detailed look at how wedding cake pricing works, our post on wedding cake costs in San Diego provides a thorough breakdown.

We also include information about add-ons in the proposal. Many clients choose to add cake pops for their dessert table, a separate cutting cake for larger weddings where a display cake serves a different purpose, or even sourdough bread for the reception dinner. These extras can be bundled into your order for a cohesive dessert experience.

Once you review and approve the proposal, we ask for a signed agreement and a deposit to reserve your date. Our deposit is typically 50 percent of the total order, with the remaining balance due one week before the event. We accept all major credit cards, bank transfers, and cash. The deposit secures your spot on our production calendar and locks in the design, flavors, and pricing we agreed upon.

Step Four: Production Week

The magic happens in the days leading up to your event. Our production process is carefully timed to ensure maximum freshness. Cake layers are baked one to two days before the event and allowed to settle overnight for the best texture and flavor. Fillings and buttercreams are prepared fresh the same day they are applied. Fondant work, sugar flowers, and decorative elements are often crafted several days in advance, as these items benefit from drying and setting time.

For tiered wedding cakes, assembly happens the day before delivery. Each tier is filled, frosted, and decorated individually, then stacked using our internal support system of dowels and separator plates. This structural framework ensures the cake travels safely and holds its shape throughout your event. We photograph the completed cake in our kitchen before delivery, both as a quality check and as a record for our portfolio (with your permission).

If you have any last-minute details to finalize, such as exact delivery timing or a change in guest count that affects serving size, we ask that you communicate these at least five days before the event. Changes to the design itself typically need to be confirmed at least two weeks prior, though we do our best to accommodate minor adjustments on shorter notice.

Step Five: Delivery and Setup

Delivery day is when everything comes together. We handle delivery with the same care and precision that goes into baking and decorating. Our cakes are transported in custom-built, insulated carriers that keep them at the ideal temperature and protect them from vibration and movement during the drive.

For San Diego deliveries, we cover the entire county, from Oceanside and Carlsbad in the north to Chula Vista and Imperial Beach in the south, and from the coast to inland communities like Poway, Escondido, and Ramona. We also deliver to popular out-of-county wedding destinations including Temecula wineries, Newport Beach venues, and Palm Springs desert locations.

Our delivery team arrives at the venue ahead of the scheduled display time to set up the cake on the designated table. For tiered cakes, this includes final assembly of upper tiers (which are transported separately for safety), placement of fresh flowers (if applicable, coordinated with your florist), and a final inspection to ensure every detail is perfect. We communicate with the venue coordinator or event planner on arrival so everyone is aligned on timing and placement.

Delivery fees are based on distance from our kitchen and the complexity of the setup. Local San Diego deliveries within neighborhoods like La Jolla, Coronado, Gaslamp Quarter, Pacific Beach, and Del Mar are straightforward and affordable. Longer-distance deliveries to Temecula, Palm Springs, or Orange County include additional fees that are clearly outlined in your proposal.

After the Event: Leftovers, Anniversary Cakes, and Reorders

After your celebration, we want to make sure you enjoy every last bite. For wedding cakes, we provide instructions for properly storing the top tier if you plan to freeze it for your first anniversary. Our cakes freeze beautifully when wrapped correctly, and many couples tell us their anniversary slice tasted just as good as it did on their wedding day.

We also offer an anniversary cake program for wedding clients. On your first anniversary, you can order a fresh mini cake in the same flavor as your wedding cake, so you can relive the experience with a freshly baked version rather than a frozen slice. It is one of the small touches that our San Diego couples love about working with us.

For birthday cakes, corporate events, and other celebrations, we keep your order details on file so that reordering is easy. Many of our clients come back year after year for birthday cakes, holiday orders, and special occasions. Once you have been through the process once, subsequent orders are faster because we already know your flavor preferences, design style, and delivery logistics.

Ordering a custom cake should feel exciting, not stressful. At Auntie Lu's Bakery, we have built our process to be transparent, personal, and enjoyable from the first phone call to the last slice. If you are ready to start planning your custom cake, contact us today to schedule your consultation. We cannot wait to create something beautiful and delicious for your next celebration.
